In the course of providing services, we may use email, secure client portals, virtual meeting platforms, cloud-based systems, and other communication or workflow technologies, including tools used for internal note-taking, transcription, file documentation, quality control, and accuracy purposes, in a manner consistent with our privacy obligations.

We do not sell or rent your personal information to third parties. We may disclose your personal information in the following situations:

  • Service Providers and Authorized Personnel: To employees, independent contractors, consultants, and third-party service providers engaged to assist in delivering our services or operating our practice. 8. Use of AI Tools

4Roots may use artificial intelligence (“AI”) and other technology tools to assist in the delivery of the services, including for drafting, summarization, organization, research support, and internal workflow efficiency. Any such tools are used to support, and not replace, professional judgment, and all substantive advice and deliverables remain subject to human review and approval by 4Roots. 4Roots will take reasonable steps, consistent with its privacy and confidentiality obligations, to avoid submitting unnecessary client-identifiable confidential or personal information to publicly available AI tools that are not approved for such use. We may use secure third-party technology platforms in the course of providing our services, subject to our confidentiality obligations and this Privacy Policy.

9. Client Portals

To securely exchange information, we may use a third-party client portal (currently CCH iFirm) that complies with applicable privacy and data protection laws. Information uploaded to the portal is protected by the portal provider’s security safeguards, and we take reasonable steps to ensure your data remains confidential while using this service.

In some cases, clients may request that we use a portal they provide. Where such a request is accepted, the client is responsible for ensuring that the portal is secure and complies with applicable privacy requirements. We are not responsible for the security, privacy practices, or terms of use of third-party portals not administered by us.
